3 x Film Festival Producers
The Role
The Palace International Film Festival (PIFF), Bristol’s Queer & Experimental Film Festival is seeking 3 dynamic new film festival producers. Reporting to and working alongside the Founding Director, the Festival Producer will oversee the festival team across all aspects of production including fundraising, budgeting, programming, partnerships and administration to plan and execute the 3 day long festival in Bristol (21-24 Sept 2018) and take part in the week long festival in Poland (10-20 July 2018).
Salary / Hours
This is an unpaid position until further notice (funds become available), therefore we ask only 1 full day per week of your time until the film festival dates.
Suitability
This role is ideal for someone at the beginning of their film / creative events career due to the voluntary nature of the project. A key interest in visual culture, creative events and queer culture is key. We don’t ask for a lot of experience, just enthusiasm and commitment to the project.
Principal Responsibilities
The Festival Producer assists in the planning, management and implementation of the film festival timeline throughout the year. The Festival Producer is responsible for the artistic quality of PIFF; ensuring that the festival and related events are well attended; and sees to the overall operations and financial success of the festival. The Producer must have an understanding and passion for The Palace Arts’ mission and its commitment to the LGBTQ community and film industry. A local knowledge of Bristol, arts venues and film audiences will work to the producer’s advantage in this role. This role will be shared with two other producers to share the workload. 1. Development/Partnerships
§ Lead on Business Development and Fundraising building sustainability of the festival and associated projects, positioning of festival, developing and sustaining partnerships and sponsors.
§ Developstrategyforcultivatingindividualdonationstowardsthefestival. § Developnewpartnershipsandcultivateexistingpartnershipsonalllevels.
§ Create sponsorship deck and build individual pitches for sponsors of all levels
including brands, foundations, cultural support and in-kind sponsorship.
§ Write funding applications when appropriate and contribute to programme specific
applications when led by another team member.
§ Write partnership agreements to ensure both parties are in agreement on responsibilities
for delivery of the project.
§ Ensure all partnerships are mutually beneficial and are monitored correctly with all
partnership agreements being honoured.
2. Coordination of PreProduction
§ Oversee delivery of 2018 festivals, ensuring all departments are working to a high standard to provide an excellent experience for audiences, filmmakers, partners, sponsors, staff and volunteers.
§ Festival Coordination & Management: Execute a timeline and workplan for the management of the festival and ensure that festival operates smoothly and deadlines are met.
§ Workcloselywithinternalstaffandexternalpartnersandcontractorstoensureevent programming is coordinated and scheduled and logistical planning and installations are complete for the festival period.
§ Managefestivalteam,recruitment,definitionofroles,monitoringandevaluationwithteam members; contribute to training and monitoring of new staff.
§ Develop and sustain partnerships for special events, venues etc.
§ Deliver preproduction for all social events including opening, centrepiece and closing night
galas.
§ Oversee Industry Accreditation system as well as ensuring public facing ticketing logistics are
in place.
§ Ensure all venues are secured in partnership with Programmer with terms and agreements
agreed and ensure relevant team members are in communication in good time.
§ Establish a timeline for festival delivery and ensure all team members are aware of
deadlines, milestones and work flow.
§ Organize weekly meetings and agenda.
§ Set weekly targets and follow up with team member so that weekly targets are met.
§ Hospitality & Travel: Oversee the coordination of guest filmmaker/actor travel and local
transportation, and ensure a positive experience for visiting filmmakers.
§ Venue/House Management: Secure venues for screenings, parties, and other festival events,
and oversee the management of venue operations.
§ Technical Management: Secure equipment and technical personnel needed for projection
and production of festival screenings and events.
3. Budgeting, Payments and Accounting for Festival activities
§ Manage festival budget and allocate departmental budgets as appropriate.
§ Managefestivalincomebudgetandreporttorelevantdepartmentsifbudgetschangeover
fundraising period.
§ Maintain cash flow projections and accounting documents for accountant.
§ Regularlyliaisewithdepartmentheadstoensurebudgetsarebeingcorrectlymanaged.
§ Arrange outgoing payments to suppliers, staff etc. in a timely manner.
§ Ensure incoming payments are received and logged.
§ Special Events: Organize and secure the resources necessary for festival galas, receptions,
and other festival events and fundraising events.
§ Box Office/Accreditation: Oversee the management of ticketing and guest accreditation.
4. Programming
§ Input ideas to film programme as and when appropriate. Liaise with Programmer and Festival Director to ensure festival objectives are reflected in the programme.
§ Designandbuildajurymodel,connectingrelevantinfluencerstogetherandinputto discussion of jury members.
§ Produce and create a prize model for winners of the film festival.
§ Providecopyforindustryeventsasrequiredforbothonlineandprintmarketingmaterials.
Contribute to copy for film programme if needed.
§ Oversee all aspects of programming the festival, both curatorial and administrative,
including working with volunteer programming committees.
§ Nurture and building our volunteer screening committee members, occasionally assisting in
setting up screenings.
§ Filmmaker Relations: Build and maintain professional relationships with filmmakers.
§ Responsible for the artistic and curational value of the film festival.
5. Marketing/PR/Design
§ Ensure that the festival objectives are being communicated effectively across all outputs
§ Work with designer to ensure that festival identity is consistent and relevant to festival
objectives.
§ Regularly audit our website and help the website to be resourceful and engaging.
§ Publicity: Develop and guide PIFF’s public relations efforts to ensure media coverage of the
festival.
§ Publications & Graphic Design: Oversee the production of the festival program book and
printed schedule, including writing copy, coordinating advertising, and working with the
graphic designer and printer.
§ Collate and write press releases for distribution to our media contacts.
§ Oversee our social media strategy.
6. Manage Audience Monitoring and Report
§ Ensure that audience monitoring and feedback is administrated correctly.
§ Utilise results from Audience Monitoring and Feedback to make informed decisions about
the festival.
§ Utilise results from Audience Monitoring and Feedback to feed into Festival Report post-
festival.
7. During Festival
§ Oversee post-festival debrief meeting with festival team to discuss successes, insights and things to consider for future editions.
§ Ensure all payments are made and recorded onrelevant accounting documents.
§ Ensure all incoming payments have been received in good time.
§ Createpost-festivalreport.
§ Maintain communications with all sponsors and partners to get their feedback on the
festival and ensure they were happy with their involvement.
